Distributing the Literature

Written literature can be well prepared and beautifully presented but the impact can be diminished by lack of attention to the manner of distribution. Three distribution options are given below and a combination of methods may be the best policy. The planning group will need to look at the database and make a call on the best way to proceed. For example, a rural church writing to its fringe or associational members who rarely attend church will probably mail the literature

  • Letters might be posted; if so always add a “disclaimer” stating that postage costs are covered by a donation and, of course, ensure that this is true. Some will criticise as a smokescreen for their own reluctance to respond.
  • Letters might be manually distributed in church; keep this courteous, efficient and personal. Never thrust envelopes at people as they leave the building. Respect both them and the seriousness of the literature you are asking them to read.
  • Letters might be hand delivered to homes; if so always call at the house and hand deliver personally. Do not give the impression that you are deliberately avoiding contact.

The reply envelope
A sample reply envelope is provided which can be sent out with the literature. Always pre address such a letter to an individual (Jane Smith) and not a post holder "The Treasurer". The reply envelope is part of a reply mechanism that simply preserves the confidentiality of the individuals' response. There is no expectation that it is posted back; it can be returned by hand.. But if you you want it mailed back then make sure there is a stamp on it! The reply envelope and response form can be brought to church one Sunday or mailed to the nominated person (ideally the planned giving officer) as the individual prefers.
